Moving Magnolia – General Terms & Conditions

These General Terms & Conditions apply to all services provided by Moving Magnolia, including but not limited to labor-only services, packing & boxing, local moves, full-service moves, and long-distance moves.

1. Scope of Services

Moving Magnolia provides professional moving-related services including labor, loading, unloading, packing (if selected), transportation (if included), and related logistics as outlined in the approved estimate or invoice.

Only the services specifically listed in the estimate or invoice are included. Any services not listed are considered outside the scope and may result in additional charges.

2. Estimates & Pricing

All estimates are based on the information provided by the customer regarding item volume, home size, distance, and service scope.

Final pricing may be adjusted if the actual scope, time, access conditions, or item volume differs from what was originally disclosed.

Additional items, undisclosed heavy items, excessive stairs, long carries, or access complications may result in revised charges.

Estimates are non-binding unless explicitly stated as a flat-rate agreement in writing.

3. Labor & Billing

Billable time begins upon crew arrival at the service location and ends once services are completed and the crew departs.

Time is billed continuously and may include loading, unloading, packing (if applicable), stairs, elevators, walking distances, coordination, and setup.

Minimum service blocks (hourly minimums, half-day, or full-day) apply as stated in the estimate or invoice.

Delays caused by customer readiness, third-party delays, building restrictions, access issues, weather, or logistics remain billable.

4. Deposit Requirement (All Services)

A 25% deposit is required on all work to secure scheduling, crew allocation, equipment, and service availability.

No services will be scheduled or reserved until the required deposit is received.

The deposit confirms the customer’s commitment to the scheduled service date and scope of work.

5. Deposit Refund & Cancellation Policy (48-Hour Window)

Deposits are fully refundable if cancellation or rescheduling occurs more than 48 hours prior to the scheduled service or move date.

Cancellations or reschedules made within 48 hours of the scheduled service will result in the deposit being non-refundable due to reserved labor, scheduling, and operational logistics.

Same-day cancellations or refusal of service upon crew arrival may result in additional charges for dispatched labor and reserved time.

Cancellation timing is based on when written or verbal notice is received during normal business hours.

6. Final Payment Terms

The remaining balance is due in full upon completion of services on the day of the job unless otherwise agreed in writing.

Accepted payment methods include cash, card, or approved digital payment.

Failure to remit final payment may result in late fees, service charges, or collections as permitted by law.

7. Additional Services & Overage Charges

Any labor, time, mileage, materials, or services performed beyond the originally quoted scope will be billed separately.

Overage charges may include, but are not limited to:

Additional labor hours

Packing time beyond estimates

Added or undisclosed items

Stairs, long carries, or access delays

Disassembly or reassembly

Customer-requested changes during service

Customer authorization to continue work beyond the quoted scope may be given verbally or in writing at the time of service.

All additional charges are calculated after job completion and added to the final invoice.

8. Packing & Materials (If Applicable)

Packing and boxing services are billed hourly or as quoted in the estimate.

Packing materials (boxes, tape, wrap, padding, etc.) may be billed separately if supplied by Moving Magnolia.

Moving Magnolia is not responsible for damage to items packed by the customer or third parties.

9. Mileage & Travel (If Applicable)

Mileage and travel charges will be billed at the rate specified in the estimate (e.g., per-mile or round-trip mileage).

Travel delays due to traffic, route changes, or access restrictions remain billable.

Travel logistics and return-to-base operations may be included in mileage calculations where applicable.

10. Customer Responsibilities

All items must be ready for service at the scheduled start time unless packing services were specifically booked.

Customer must provide safe and clear access to entryways, hallways, elevators, and parking areas.

Customer is responsible for securing any required building permissions, elevator reservations, or parking permits.

Customer must disclose any heavy, oversized, fragile, or specialty items in advance.

11. Labor-Only & Truck Disclaimer (If Applicable)

For labor-only services, the customer is responsible for providing the moving truck, transportation, and packing materials unless otherwise agreed in writing.

Moving Magnolia is not responsible for driving, operating, or transporting customer-provided vehicles unless explicitly contracted.

Delays related to truck availability, improper truck sizing, or third-party rentals remain billable.

12. Damage & Liability

Moving Magnolia exercises reasonable care during all services; however, pre-existing damage is not the responsibility of the company.

Minor cosmetic wear may occur due to tight spaces, stairwells, or building conditions.

Moving Magnolia is not liable for damage to items improperly packed by the customer or third parties.

Damage claims must be reported before the crew leaves the job site. Claims submitted after completion may be denied.

Liability is limited to the actual cost of repair or replacement and shall not exceed the total service fee paid, unless otherwise required by law.

13. Weather & Safety

Services may proceed in standard weather conditions unless deemed unsafe by the crew.

Moving Magnolia reserves the right to pause, reschedule, or discontinue service due to unsafe working conditions.

Billable time up to the point of service interruption remains due.

14. Media Documentation Authorization

Customer authorizes Moving Magnolia to photograph or record video of the service area, property, and items for quality control, documentation, training, and dispute resolution purposes. Media will not be used publicly without additional written consent.

15. Right to Refuse Service

Moving Magnolia reserves the right to refuse or discontinue service due to unsafe conditions, aggressive behavior, non-payment, undisclosed scope, or violations of these terms.

16. Acceptance of Terms & Deposit Authorization

By approving an estimate, signing a contract, or submitting the required 25% deposit, the customer acknowledges, accepts, and agrees to these General Terms & Conditions in full. The deposit authorizes Moving Magnolia to reserve labor, scheduling, equipment, and operational logistics for the requested service. No services will be scheduled or performed until the 25% deposit is received and these terms are accepted.
